Reporting to the Chief Human Resources Officer, the Executive Assistant’s main focus is to provide thorough and multi-level support to all the company’s Senior Management Team. He/She is tasked with enhancing the executive team’s effectiveness through efficient scheduling of calendars, meetings, travel arrangements etc., whilst serving as a liaison to the board of directors and senior management teams; organizing and coordinating executive outreach and oversees special projects. Furthermore, the role will be tasked with effective management report creation, minute taking, conducting relevant research, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, etc.  
Working in close contact with various internal stakeholders, this position involves the full spectrum of duties, including but is not limited to; 
  • Being the point of contact between the executives and company employees/clients and managing information flow;
  • Conserving executive's time by handling special projects; reading, researching, and routing correspondence; drafting letters, reports and documents; collecting and analysing information and initiating communications;
  • Together with the travel coordinator, maintaining executives’ appointment schedule by planning and scheduling meetings, conferences, and travel.
  • Producing employee, executive and board reports on a weekly, monthly and quarterly basis using latest presentation methods and software tools.
  • Welcoming guests, visitors, board members and third parties whilst also handling all related coordination and organistion;
  • Maintaining customer/employee/company confidentiality and protects operations by treating information with diligence and sensitivity.
  • Completing projects by assigning work on the executive’s orders and following up on results.
  • Preparing reports by collecting and analysing information.
The above duties should give an overall picture of the employee’s day to day responsibilities but should in no way be deemed to be an exhaustive list, additional, related, duties may be assigned by the manager dependent on the needs of the business.
The Executive Assistant must be creative and enjoy working within a medium sized, entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and impeccable organizational skills, coupled with the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
  • Proven working experience as an executive assistant within a fast-paced environment;
  • Excellent MS Office knowledge and English written and spoken proficiency;
  • Outstanding organisational and time management skills;
  • Excellent presentational, verbal and written communications skills;
  • A fun and outgoing personality with strong interpersonal skills;
  • A meticulous approach with an eye for detail and a personal value towards confidentiality, professionality, and integrity.
