We are Etergo. We're on a mission to accelerate the global transition towards sustainable energy and transportation by creating a safe, scalable and environmentally friendly alternative to petrol and diesel vehicles. Founded in 2014, we have grown our company with over 70 agile thinkers, building high-end electric transportation. We are currently working on #AppScooter, our first product, to demonstrate that city mobility can be clean, and deeply integrated with technologies that connect us. Since we are growing fast, we’re now looking for an Executive Assistant to join our team.


As an Executive Assistant, you will be at the heart of Etergo. Working alongside our Executive Team, you will prove invaluable in helping support them with the day-to-day running of the business with administrative, secretarial and planning work. You will manage mostly business related tasks for the team such as aligning schedules, preparing meeting agendas, creating meeting minutes, following up on meetings and todos, creating presentations & reports, organizing travel, accommodation and other organizational tasks. To do this role properly you should have a detailed understanding of Google Suite, be extremely fast at solving problems and have experience as an executive or administrative assistant in the past.


As an Executive Assistant, your main responsibilities will be:

  • Acting as a first point of contact where needed: dealing with correspondence via various channels (email, slack, etc) and phone calls.
  • Managing calendars, organising and preparing meeting agendas & presentations, creating meeting minutes, following up on meetings and todos.
  • Booking and arranging travel, transport and accommodation.
  • Help support in selecting and preparing for events and conferences.
  • Reminding the executive of important tasks, meetings & deadlines.
  • Typing, compiling and preparing presentations, reports, sheets and correspondence.
  • Managing databases and filing systems.
  • Implementing and maintaining procedures/administrative systems.
  • Liaise with external contacts where needed and all teams across the organisation.
  • Researching and organising data to prepare documents for review and presentation by staff, directors, investors, and executives.
  • Using various software to support the weekly, monthly, quarterly and yearly cadence of the company, including the entire google docs suite and applications for processing, spreadsheets, databases, and presentation software.

  • You speak, read and write fluently in English;

  • Excellent administration and computer skills (pref. Google docs, slides and sheets).

Executive Assistant’s responsibilities include managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance.

Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
